This Refund Policy explains when and how families engaging RF1 LLC (operating as "Real Frequency India," "RF India," "we," "us") may be eligible for a refund of fees paid for our consulting services. This policy is part of, and should be read together with, our Terms of Service and your individual engagement agreement.
1. Discovery Calls
Discovery Calls are provided free of charge. No money changes hands during a Discovery Call, and there is nothing to refund.
2. Service Fees and Milestone-Based Refund Eligibility
Refund eligibility for paid engagements is tied to the milestone your student has reached at the time of cancellation. The milestones are:
- Pre-onboarding (before kickoff call): Refunds may be issued for any fees paid, less any non-recoverable third-party costs incurred on your behalf.
- Curated school list delivered: A partial refund may be available, calculated based on the proportion of services not yet delivered as of the cancellation date.
- Strategy Build delivered: A reduced partial refund may be available, again calculated against work not yet delivered.
- Application execution underway: Refunds are generally not available once active application work has begun, except where required by applicable law.
- Visa preparation phase: Refunds are generally not available, except where required by applicable law.

3. Process for Requesting a Refund
To request a refund:
- Email myf1visa@rf1.in with the subject line "Refund Request, [Student Name]."
- Include the date of the engagement agreement, the date you wish to terminate, and a brief description of the reason for the request.
- We will acknowledge your request within three business days and confirm the milestone reached and the refund amount, if any, that you are eligible for.
4. Timeline for Refund Processing
Approved refunds are processed within fifteen business days of the confirmation email. Refunds are issued to the original payment method where possible. If the original payment method cannot be used (for example, due to expiration of a card), we will work with you to identify an acceptable alternative.
5. Disputes and Chargebacks
We strongly encourage families to email us first before initiating a chargeback or dispute. Most concerns can be addressed faster through direct conversation than through bank dispute procedures.
6. Non-Refundable Items
Certain charges are non-refundable regardless of the milestone reached. These typically include third-party fees collected and paid through to a vendor on your behalf, for example application fees paid to a university, SEVIS fees paid to the United States government, and similar pass-through charges. Such items will be itemized in your engagement agreement.
7. Termination by RF India
If RF India terminates an engagement for reasons unrelated to a material breach by the family, for example due to capacity changes on our side, we will provide a pro-rated refund based on services not yet delivered. If RF India terminates an engagement due to the family's material breach (such as non-payment, misrepresentation, or repeated failure to engage with the work), refund eligibility follows the milestone schedule above.
